An introduction
Custom Software Built Around Your Business.
We build custom ops systems for growing field businesses — and we let you try the kind of software we'd build for you before you commit.
Dispatch boards, intake pipelines, automations, and internal tools for teams of 5–50 — scoped to your budget, built by the person on the discovery call.

How to evaluate us
Five ways to build trust before you sign anything.
No client logo wall — just working software, a clear process, and direct access to the builder.
Try a demo in your industry
Open our generic sample demos — refreshed weekly — to see how we think about your kind of work. Generic sample workflows, refreshed weekly. A finished project built for your operation is in a completely different league.

What we build for growing field businesses.
01 · Internal ops
Ops software for small teams
Dispatch boards, intake pipelines, job tracking, and crew tools sized for teams of 5–50 — not bloated enterprise software your people won't open.
See demos →02 · Automations
Workflow automations
Forms, routing rules, document handling, and follow-ups that stop the same data from being retyped into spreadsheets, email, and group texts.
Plan automations →03 · Dashboards
Dashboards & internal tools
One screen for jobs, fleet, pipeline, or KPIs — built for how your operation actually runs, including mobile-friendly views from the field.
View showcase →04 · AI-assisted
AI where it saves real hours
Practical AI inside your workflows — drafting replies, summarizing intake, flagging exceptions — deployed inside the systems you already use, not as a chatbot bolt-on.

Interactive demos at different scales — not named client engagements
Four illustrative builds at different scales — each with an interactive demo and a matching project in the client portal so you can see how staging previews and build updates look during delivery.
Illustrative example — interactive demo, not a named client engagement.
Invoice Approval Dashboard
28-person commercial GC · South Louisiana
Project managers approved subcontractor invoices through iMessage screenshots and email forwards. AP had no single queue, vendors called daily for payment status, and rejected invoices disappeared in text threads.
- Average approval dropped from ~3 business days to same-day when managers used the portal
- AP stopped maintaining a shadow spreadsheet of 'waiting on PM'
Employee Scheduling & Time Tracking System
Oilfield services contractor · 85 field employees
Schedules lived in a shared Excel file edited by three supervisors. PTO requests came by text, timesheets were paper, and payroll export meant re-keying hours every Friday — with frequent cert and shift mismatches on pad assignments.
- Eliminated the shared schedule spreadsheet and version conflicts
- Payroll prep time cut from ~6 hours to under 1 hour weekly
Fleet Operations Management Platform
Regional logistics company · 38 trucks
Dispatch used a whiteboard and WhatsApp, maintenance lived in a separate spreadsheet, and drivers called the office for assignment changes. Leadership could not see which trucks were down for PM or which loads were unassigned without calling three people.
- Dispatch, maintenance, and driver comms consolidated into one command center
- Unplanned downtime visibility improved — PM due dates surfaced before breakdowns
Oilfield Workforce & Compliance Platform
Multi-state oil & gas contractor · 240+ employees
Certifications tracked in one system, job tickets in another, scheduling in Excel, and compliance reports built manually for clients every month. Field supervisors could not see expiring TWIC or H2S certs before crews arrived at the gate.
- Replaced six disconnected tools with one workforce platform
- Admin and compliance prep time reduced substantially (client-reported ~70% less manual rollup)
Generic demos — updated weekly
Sample workflows you can click through today.
These twelve demos are generic examples — not client deliverables. We improve them every week so you can see how we think about dispatch, intake, scheduling, and approvals. They're here to show capability, not the ceiling.
When we build for you, the software is designed around your process, your team, and your standards — polished, integrated, and yours. That's a different product entirely, and it's the one we care about delivering.
Charter fishing
Charter booking system
Public booking with live calendar, license-based passenger caps, Stripe deposits, and a captain dashboard — operators stop learning about trips from dock-side phone tag.

Interactive · field + ops
Book trip + deposit
Calendar live
Construction
Invoice approval dashboard
PMs upload subcontractor PDFs, approve or reject with job context, and vendors get automatic status emails — AP stops chasing screenshots in group texts.

Interactive · field + ops
Bayou Electrical
$4,820 pending
Logistics
Dispatch control dashboard
Assign drivers, mark en route with customer notification, and close jobs with a timeline — built for teams outgrowing the whiteboard-and-group-text dispatch loop.

Interactive · field + ops
Crescent HVAC · en route
Customer ETA sent
Construction
Job costing dashboard
Supers log field progress from the job site; ops sees margin risk on the Riverfront retail and school HVAC jobs before the monthly rollup surprises finance.

Interactive · field + ops

Why demos, not hype
Here's what we can build — try it yourself.
We'd rather let you click through working software than flash logos we don't have. Generic sample workflows, refreshed weekly. A finished project built for your operation is in a completely different league.
Generic demos, improved every week
Twelve sample workflows you can click through today — dispatch, intake, scheduling, approvals. They're teaching tools, not client projects. We refresh them weekly as we refine how we build.
Production stack, shown openly
Next.js, Node, Turso, Stripe, Resend, and Cloudflare — the same stack we ship on. You can see how the demos are built before we scope your project.
Transparent process, no logo wall
Free discovery call, optional paid audit, client portal preview, and direct founder access. We prove capability through software — not fabricated case studies.

Inside the engagement
A Client Portal that stays current — not a PDF graveyard.
Every active project gets a portal with milestones, files, staging links, and messages — so you always know where things stand without chasing a status call.
Live Project View
Milestones, files, staging links, and status — updated as work moves, not buried in a weekly recap email.
Clear payments
Deposits, invoices, and receipts through Stripe — itemized up front so billing doesn't become a surprise at the end.
One thread
Reply by email like you normally would. Messages stay organized on the project without another portal login ritual.
No silent changes
If scope or estimate shifts, you get the reason in writing before anything moves forward.
Process
From first call to software your team actually uses.
Discovery call
We learn how your operation runs today — where time gets lost and what software or automation would actually help. First call is free.
Proposal
A written plan with scope, timeline, and budget — so you know exactly what you're getting before work starts.
Build
Focused build sprints — software, automations, and dashboards you can use in production.
Deploy & refine
We launch it, walk your team through it, and fix what breaks as real volume hits.
Industries
Built for crews, dispatchers, and operators who can't wing it.
Pick your industry to see the kinds of systems we build — dispatch, scheduling, intake, and field workflows.
Vertical solution pages
Deeper landing pages for paid search and organic — pain points, demo links, and how we scope builds.
Who this is for
If manual admin is slowing you down, you're in the right place.
Ascend Systems is for SMBs, local companies, and service businesses — not Fortune 500 IT departments. If you're still running on spreadsheets and group texts, we should talk.
Before you ask
Questions buyers usually ask next.
If you are still figuring out whether you need automation, a dashboard, or a full internal system, start here.
Small automations can be scoped quickly and built as focused releases. Larger dashboards or full ops systems are broken into milestones so you can test the core workflow before every edge case is added.
Yes. We build systems around your operation and keep the stack understandable. You are not locked into a black-box platform that only we can explain.
Usually. We can connect tools like Stripe, HubSpot, DocuSign, email, spreadsheets, CRMs, and custom APIs when those integrations support the workflow.
That is one of the most common starting points. We turn the spreadsheet into a structured workflow with forms, roles, status, notifications, and reporting.
We walk your team through the system, watch how it performs under real use, and refine what breaks or creates friction. Monthly support retainers are available when you want ongoing help.
Yes. The site is aimed at SMBs, service businesses, local operators, field crews, and teams that need practical software without enterprise consulting overhead.
Start with a system audit. We map what you do today, identify where time is leaking, and recommend the highest-leverage workflow to fix first.

Subscription & contract policy
Monthly subscriptions are billed automatically through Stripe. Your signed agreement defines payment terms, scope, and ongoing obligations.
Auto-billing
Subscriptions renew monthly on your billing date. Payment is charged automatically via card or ACH on file.
Non-payment
If a monthly payment fails or is not received, the subscription is cancelled immediately. Ongoing support, maintenance, and system access tied to the plan are suspended.
Broken contract
Failure to meet payment obligations, misuse of systems, or violation of signed agreement terms voids the contract. Ascend Systems may terminate service and close access without refund for the current billing period.
Reinstatement
Cancelled subscriptions require a new agreement, payment of any outstanding balance, and approval before services resume.
All subscription terms are documented in your DocuSign agreement before billing begins. No hidden fees — clear scope, clear expectations.
Contracts & agreements
Every project includes a signed agreement via DocuSign or Dropbox Sign — so expectations, timelines, and payment terms are documented before work begins.
- —Scope of work
- —Payment terms & deposit schedule
- —Monthly subscription terms (if applicable)
- —Revision limits
- —Project timeline
- —Ownership & IP rights
- —Cancellation policy for non-payment

Built for trust: Operations-focused clients expect invoices, contracts, and ACH or wire options — not Cash App or Venmo. That professionalism matches how we build the systems we deliver.
We do not use: Cash App · Venmo · Informal peer-to-peer apps
